Description of role -

To act as the first point of contact for all incoming calls and to provide day to day administration support to the Directors and London based team.
Responsibilities: Office

  • Answering, screening and forwarding any incoming telephone calls while providing basic information when needed. Answering the telephone in a prompt, polite and friendly manner.
  • Answering the security door phone and dealing with couriers, deliveries and visitors. Announcing visitors to individuals and organising refreshments.
  • Receiving and sorting daily post.
  • Opening post, organising and posting all outgoing mail.
  • Maintaining security by following procedures and monitoring signing in/out records.
  • Filing, photocopying, collating, scanning and printing a variety of documents.
  • Collecting dirty crockery from desks and general office tidiness. Administration
  • Maintaining stock levels for stationery and ad hoc items.
  • Maintaining stock level of branded clothing (polo shirts, fleeces) and all Personal Protective Equipment.
  • Managing the absence calendar and individual whereabouts.
  • Organising meetings rooms and any refreshments
  • Organising annual portable appliance testing (PAT) and fire extinguisher checks.
  • Categorising, bar coding and archiving all old projects plus updating referencing spreadsheet. Organising shipment.
  • Creating project and site files for new work
  • Being a point of contact for IT issues within the London office.
  • Administration tasks for the Document Controller including folders on Teams are kept up to date, collating RAMS into different file formats and ensuring individuals have filed documents correctly.
  • Supporting the estimating department with the collation of papers for pre-qualification questionnaires or tenders.
  • Ensuring any outstanding requests from business support colleagues are dealt with.
  • Dealing with the weekly payment for the cleaner and addressing any cleaning issues.
  • To carry out any other duties which fall within the scope, level and purpose of this job description.
  • Preparation to all surfaces including walls and woodwork (rubbing down, scraping, using sandpaper and removing old paint)
  • Fill cracks and holes with appropriate material
  • Mix paint and other materials to prepare the right colour or texture
  • Apply paints to ceiling, wall areas and all woodwork according to instructions with various tools
  • Apply specialist coatings to areas including internal and external floors, walls, ceilings.
  • Measure and calculate areas for paint coverage.
  • Assist with reading instructions, specification and examining surfaces to determine work required.
  • Guarantee all safety precautions and quality standards are met.
  • Build on-site preparations such as scaffolding or covering fixtures.
  • To carry out any tasks within the employee’s skill and ability.

Essential Criteria

  • Outstanding communication and interpersonal abilities
  • Good IT skills using a variety of software packages, such as MS Word, Outlook and Excel etc.
  • Highly organised and efficient.
  • Ability to learn and attend college whilst working
